What is an agency? An agency in Vonzu is defined as a virtual entity that covers an area of action. This zone can be a drawing on the map or a grouping of postal codes. For example: An agency (warehouse) in Madrid can cover only the area within the M-30, the entire community of Madrid or serve the whole of Spain.
Go to the section of “Settings”
Click on “Agencies”
Click on “+ Create Agency”
Fill in the fields with red asterisk*
Click on “Create”.
Setting up an agency:
Agency name.
Type: Warehouse, office, microhub...
In most cases we will need to configure a warehouse or office, the types corresponding to standard operations.
Email.
Warehouse contact person: If you do not want to provide this information, we can put fictitious data .
Agency address: In case of optimizing routes, this address will be the start and end point of all routes.
Agency area: Each agency covers an area of action. To define it, we can draw a polygon on the map or define it from postal codes.
Once the agency is created, we can enter the details of the agency and make changes in the following tabs:
Users:
We can add users by clicking on “+ Add user”
Configure users of type warehouse admin and warehouse user, to link them to your agency.
Drivers:
We can add drivers by clicking on “+ Add driver”
Through the check we activate and deactivate drivers, so that they are taken into account in the optimization. For example, if today we have driver 1 sick, we deactivate the check and no expeditions or routes will be assigned.
Postal Codes: Here we can add zip code ranges, loose zip codes, and even exceptions.
Zones (areas): we can create, delete and/or edit new areas of action.
How to create action zones? From the agency we select the sub-tab “Zones (areas)” to do so, draw an area on the map.
Another option is to define the area of action by postal codes from the “Postal Codes.
What is the implication of areas and postal codes?
All expeditions that are geolocated within the configured areas or zip codes will be assigned directly to the agency.
Subagencies
This concept of “daughter agencies” is used to delimit different areas of action within the same warehouse (parent agency). For example, dividing the city of Barcelona into 4 zones, each covered by X drivers. In this case, the parent agency must be empty and the users, drivers and action zones will be configured directly in the sub-agency.
Rules
That all shipments of client X or with certain types of service, and geolocated within the corresponding area of action, are assigned directly to the warehouse.
Important! For these rules to work, it is necessary to first define an area of action.
In the case of closing a delegation, we can deactivate the agency so that it is not shown in the list. This functionality allows us to hide the agencies that are no longer used and that we only keep for historical data.
To deactivate agencies:
Select the agency you want
Click on the three dots in the upper right corner "..."
Deactivate the desired agencies
We can also toggle the view between activated and deactivated agencies using the "Show inactive" button in the upper corner right.
Set up drivers in the agency
Go to “Settings and click on “Agencies”
Click on the name of an agency you choose and go to the “drivers” tab
Click on “+ Add Driver”
Select the driver from the dropdown and click on “add”
Click on the check to activate it
In case of being a retailer with a subcontracted fleet, we can skip this step
You cannot configure drivers to virtual sub-agencies, you must configure
